Visual Functions
Function 1: Provide Immediate Visual Recognition
- Common sybols are sometimes more vonvenient and can be standard for any audiences.
- Examples.
- Bathroom signs
- Traffic signs
- Critical safety signs
Function 2: Organize Numeric or Textual Data
- Numerical tables with rows and columns allow for eaily sortable data.
- Text can also be presented in tables for easy explanations.
Function 3: Show Relationships
- Spatials relationships can show a small section of a larger visual for more definition.
- Quantitative relationships effectively show comparisons between data sets. (Line, Scatter, Pie, and Bar Graphs)
- Floating graph conventions are good ways to show more details of a general data set.
Function 4: Define Concepts, Objects, and Processes
- The use of visuals can show a process or a transformation.
Function 5: Present Action or Process
- Actions can be shown using visuals in a sequence.
- Charts can be used to show flow and sequence.
Function 6: illustrate appearance, structure, or function
- Physical characteristics are easier to present visually
- Diagrams and drawings are two of the more effective ways to show of parts of an item
- Diagrams illustrate the complex physical and structures of objects, mechanisms, and organisms.
- Drawings depict the actual appearance of an object, or organism.
Function 7: Identifying Facilities or Locations
- Identifying facilities and locations traditionally has meant maps and photographs.
- Maps also refer to a navigational tool used on the web, and workplace.
- Photographs are often made with digital cameras as well as traditional camera
- Maps – graphic information displayed on maps (called charts not maps for air or water). Maps are not only navigational tools but may also show topographical, demographic, agricultural, meteorological, and geological data.
- Photographs – are best used when you actually want to display the object it’s self. Appropriate when you want to emphasize the realism, particularly the natural features of a setting.
Conventions in Use of Color
Cautions against misuse of color
- Overuse of decorative color –eliminates functionality
- Too much color – distracts or annoys the readers
- Cultural insensitivity – violating cultural expectations can mean the use of color contradictions in either the workplace culture or the broader social culture.
Suggestions for Appropriate use of color
When color is used in technical documents it should be an integral part of the information that readers need.
- A few of the most important purposes
- Signal safety – use of colors to make a statement of safety (ex. Green=go, yellow=caution, red= stop).
- Attract attention – draw readers to the topic.
- Enable accurate identification – helps readers focus on critical features of the object.
- Show structure or organization – enable readers to better understand the structure displayed.
- Highlight components and their process or movement – show the readers a path for moving components.
- Aid comprehension – make and image easier to understand by adding colors where colors where not present before.
- Influence interpretation – enhance the ability for readers to understand and interpret visuals in a presentation.
Color in Designing Electronic Documents
- Consider the following when designing electronic documents
- Will the document be viewed on a screen with different resolution then the one you’re using?
- What will the lighting in the room be like? Brighter or darker then the room your currently in?
- Will the document be printed? If so test what the colors look like on paper as there is a big difference between the colors on the computer screen and on paper. And if the document will be printed in black and white instead of color how will the color images look when not in color.

Visuals are really important to a student these days. Being able to effectively create and design a visual is something we should all understand. Most of this chapter is about color and how that color relates to effectiveness of the design. I guess the only thing I could come up with to relate this to my personal experience is advertisements. I'm a pretty critical person and tend to over-analyze things and sometimes it seems like in some ads, they weren't thinking about how the consumer would see it. Some ads or commercials go crazy with colors and forget to highlight the product. Lots of color catches your eye but that's probably all you'll remember from the ad.
Visuals are very important in many ways. Visuals help express what people are saying. For an example, in class we looked at graphs that explained how many people speak different languages in Minnesota. While looking at the results, the graphs help explain how many different languages there were and how many people used them as their primary language. Visuals are also very important because they can get the point across faster. People also would be more likely to get the correct information quicker than reading it in text.
Chapter 12 is focusing on the design of the visuals and text being presented. Knowing your audience seems to be one of the most important aspects in making a presentation. When using visuals I try to find colorful pictures and ones that are clear. Also making sure you can see what is going on in the picture so there aren't questions about what the picture is. When making a power point presentation I try to change the color from black to a color that would match the color scheme in the picture to pull it all together.
I think visuals are so important to many technical communication documents. In a lot of ways adding visuals can be the easiest piece of putting together a document. If done incorrectly, however, it can become quite a challenge. I enjoyed how this chapter gave specific examples on how to use appropriate visuals that were not too distracting. I found this very relevant while putting together the power point for my presentation in this class. I wanted visuals that would help illustrate my topic but at the same time not distract from or confuse the information I was presenting. I appreciated this chapter because use of visuals and pictures helps so many people understand the information being given. This is not only useful to us as students, but I’m sure it will be useful in the future as well.
Visuals are everywhere we look. A stop sign would have the same function as the shape and color itself without even using the word stop. Also, I was thinking about an instruction manual. Using one would be so much more difficult without a visual diagram to go along with the text. This refers to function #6. An instruction manual uses the visual picture so that the audience can look at what they are using is supposed to look like compared to what they are using actually looks like. I think most people need some visual images integrated with text to make things easier.
Visuals are great if used in the right areas such as within the text that talks about or describes the picture. Visuals help the reader or audience put a picture in their head of what the information is about rather than just trying to absorb all the information. Explaining or labeling signs/picture is helpful to anyone who sees them. I think it is important to know what certain signs mean or pictures since sometimes you find yourself wondering how it fits in. Also like the graphs we did in class labeling them and telling the reader what they mean is very important in the help of understanding and communicating what you are saying.
Visual signs are very good in technical writing because they are some of the best attention getters that you can have. When you are writing instructions for example there are some points that are more important that others in the document. This is where you can place pictures that can help clarify the information that you are trying to get to the listener. We have all worked alongside with instructions and we have seen the stop sign or the caution sign for important steps. These are great ways to use visuals in technical writing.
In the work place visuals (from safety signs, to pie charts, to even weather data) are everywhere. Visuals are there to quickly display a message in a way anybody can understand quickly without having to stand there and read it. They can quickly look at the sign (say in case of a fire) and understand where to go. Or where there is a safe place in case of tornadoes.
In terms of color within visuals, one must remember that not to choose colors that are very close to one another, as some people have a hard time distinguishing between some colors.
I like seeing visual signs. I like when teachers use powerpoints instead of just lecturing. When you have a teacher that just lectures it is often times too hard to follow but if the teacher uses powerpoints it is much easier to follow because you can focus on the slides and not have to worry about writing down everything the professor said. Visuals are also important during presentations the presentations I have given usually involve some type of visual so it is easier for the class to follow along.
Chapter 12 has good information to follow when peopel are incorperating visuals into a presentation and other projects that could use a picture of some kind. When I was preparing my power point I found and used really pictures from the article that I used. To have an actual picture of what your presenting is a great way to show people what your talking about. I'm sure most people are like me and are visual learners. Its hard for me to learn something straight out of text. I like to see an example.
Chapter 12 talks about using visual forms to achieve a better knowledge of things and this doesn't apply only to technical writing or reading. Visual forms are all over the place for example highways signs, danger signs, school signs...etc. I just imagine living without these visuals and clearly enough it would create chaos all over the place. Like I comment in the previous chapter I’m a visual person since I was very young I realized that I learned better by looking at examples, graphs and drawings, because in that way I can make connections to what the instructor is explaining and my visual.
Chapter 12 does a great job showing how to use visuals and how to properly create them. Most people learn by seeing instead of hearing, so if a presenter has an excellent visual representation there idea will be better seen. But this chapter also describes how not to make the visual. If you create the visual with too many things other than the information, the information you are trying to portray would be lost.
I think visuals are key in any work being done. I used to try and use visuals to take up more space, but then I realized people liked the use of them alot. Visuals can seem kind of elementary, but its definately important to do this to capture the audiences' eyes. Visuals are also very important to help illustrate themes or other important ideas. Everyone likes pictures more than words, so I'm going to stick with more pictures and less words.
Visuals are a very importtant key to get your message across clearly. Everything in todays world uses visuals to get a quick response into your head and makes you want to read into it more. Colors are also a huge part of this which grab your attention in a dramatic way. It is important to use colors that go along with what your talking about. For example in facebook, it is an overall blue color, but then everything lese that they want to grab our attention about, they make red or green so that it pulls our eyes to it. Also when using colors make sure not to use close colors for that will look similar to some people and confuse people.
Visuals are a very great tool to use in technical communication. Visuals are used in our everyday lives, as attention getters, warnings, charts, etc. Visuals can sometimes speak louder than words. You might be getting directions to a place that you have never been. It is easy for a person so give us directions on how to get there, but sometimes is confusing. If you can look at a map, it gives you a better understanding on how to get there. If you think of something as the Nike symbol, we know exactly what it is referring to. Nike does not have to put their name on the logo because it is so commonly used.
In today's world, visuals are very important and are completely neccesary. Presentations are boring and less appealing without visuals. Unless the presenter shows the audience something that they can interpret, the presenter could lose the audience. Also, visuals catch the eye so they are great tools for hooking the person and keeping them involved with the presentation. Visuals can be photos, graphs, charts, etc.
This chapter discussed visuals and there importance. I feel that visuals are very important and they add a lot to the document. I currently have a text book that is painfully boring. I find it so boring because there is very little visuals and only has two colors, blue and black. If it were to add more visuals and color it would help a lot with understanding it and enjoying it. Even if it were to change the color or bold the important words it would help with understanding what they feel is important. I enjoy visuals, it breaks up the reading and makes things a lot more understandable.
This chapter brought to my attention that visuals like text or font color not only enhance your projects etc. by drawing attention but they also can benefit your business by making your ad or presentation stimulating to your audiences. Visuals can enhance your projects or even destroy it if you do not carefully and strategically use them. This chapter just highlighted that you should use color, but use the color correctly and beneficially.
This chapter explained the importance of using visuals. Visuals can be a great way for people to learn things. With words, directions and procedures can be ambiguous. A sentence can convey many meanings. However, with visuals, directions are explicit thus making it easier for reader to comprehend the material better. For me, I am more of a visual learner. If I can see the instructions then I will be able to grasp the directions much easier. Also, visuals can become second nature to us. Like if we see a bio-hazard sign we quickly know that that place or thing is dangerous.
I agree with the author in saying that visuals help to understand a topic. Adding flashy colors draws a reader into something critical which altimately gains comprehension. In my class presentation I will have to add pictures, fonts, and color to help the class understand a complex topic. The proper use of pictures can greatly benifit the result of learning the material or not. Adding visuals that are not organized to text can throw readers for a loop resulting in several questions.
This chapter focused mainly on visual aids and how they can help show what the presenter is trying to get across. It makes it so much easier to follow along if the correct visuals are used. However if used improperly they can also confuse your audience and that is something that in the back of my mind I knew, but never realized it. In my TPR this will come in very handy because in the automotive field there are a lot of complicated subjects that can be made a lot easier with a few simple visual aids
Incorporating visuals into a text is very helpful as a student. It becomes easy for me to understand the material very well. In my area of study (Human Biology) I see lots of visual in all biology textbooks and chemistry. These visuals can be in a form of animation, charts, drawing, letters, numbers and photographs. These visuals define and characterize the written text. Color plays an important role in visuals. It aids in comprehension and interpretation of the written text and also it helps in memorizing
I know that it is easy for me to understand information when the teacher uses visuals. In many ways the visuals help explain what the presenter is trying to get across. Using visuals is a great way to get everyone no matter which language they speak to understand your information. I see this chapter being very useful.
